Creating a Quote
Build an itemised quote with recipient details, job information, line items, and VAT, then save or send it.
1. Choosing a recipient
The first section asks who the quote is for. Toggle between "Existing Client" to select from your saved clients, or "One-off Recipient" to enter details manually. For existing clients, the name, email, company, and address auto-fill from their record. For one-off recipients, name and email are required; company and address are optional.

2. Setting dates
Set the issue date (usually today) and the expiry date. The expiry date controls how long the quote remains valid. Once the expiry date passes without a response, the quote status automatically changes to Expired.
3. Job details
Describe the work being quoted. Enter the site address and postcode where the job will take place, a description of the waste to be collected, the relevant EWC codes, and the container type and size. All fields are optional but help the client understand exactly what is being quoted.
4. VAT
Toggle the VAT switch to include VAT at the UK standard rate of 20%. When enabled, VAT is calculated automatically on the subtotal and shown as a separate line in the totals. Leave it off if your business is VAT exempt or not VAT registered.
5. Line items
Add one or more line items to the quote. Each line has a description, quantity, and unit price. The line total is calculated automatically. Click "Add line item" to add more rows. Click the bin icon to remove a row (at least one line must remain). The subtotal, VAT (if enabled), and grand total update in real time at the bottom of the table.
6. Notes
Add any additional notes, terms, or conditions to the quote. This text appears at the bottom of the quote when viewed by the client. Use it for payment terms, validity conditions, or any other information the client should be aware of.
7. Saving and sending
Click "Save Draft" to save the quote without sending it — useful if you need to review or edit later. Click "Save & Send" to save the quote and immediately email it to the recipient. Sent quotes show a "Sent" status and you can resend them at any time from the quote detail page.
