Understand how QWTN calculates permit status and how to act on expiry alerts.

How expiry status is calculated

QWTN computes a permit status every time the Permits page loads by comparing today's date against the stored Expiry Date. Three statuses are possible: Active (more than 30 days until expiry), Expiring Soon (30 days or fewer but not yet expired), and Expired (past the expiry date). Permits without an expiry date are always treated as Active.

Status badges

Each permit row in the list shows a coloured badge: green for Active, amber for Expiring Soon, and red for Expired. The expiry countdown (e.g. "14d left" or "Expired 3d ago") is also displayed in the list alongside the badge.

Critical expiry indicator

When a permit has fewer than 7 days until expiry (and is not yet expired), an animated red dot appears next to the reference number. This provides an urgent visual cue even when the list is long.

Filtering by status

Use the status tabs at the top of the list — All, Active, Expiring, Expired — to quickly isolate permits needing action. The Expiring tab is the most useful for weekly checks.

Renewing a permit

Click any permit row to open the edit form. Update the Expiry Date to the new renewal date and save. The badge will immediately recalculate. For waste carrier licences, you can also use the EA Register Lookup in Settings to refresh your expiry date automatically.

Expired permits do not prevent note creation
QWTN will not block you from creating waste transfer notes if a permit has expired. You are responsible for ensuring your permits are in order before collecting or transferring waste. Set calendar reminders at least 60 days before expiry for important licences.
