Operator Licence (O-Licence)

Record your Operator Licence details, set expiry dates, and track renewal deadlines. Required for vehicles over 3.5 tonnes used in commercial goods transport.

What is an Operator Licence?

An Operator Licence (O-Licence) is a legal requirement in the UK for operating goods vehicles over 3.5 tonnes gross vehicle weight for commercial purposes. It is issued by the Traffic Commissioner for your region (Traffic Area). There are three types: Restricted (own goods only, no hire or reward), Standard National (any goods, UK only), and Standard International (any goods, UK and abroad). You must not operate heavy vehicles without a valid O-Licence.

Authorised Limits

Enter the maximum number of vehicles and trailers authorised on your licence. These are the limits specified on the licence document itself. If you add more vehicles than your authorised limit you must apply to vary the licence.

Operating without a valid O-Licence is a criminal offence
If you operate heavy goods vehicles (over 3.5 t) commercially without a valid Operator Licence you can face unlimited fines, vehicle impoundment, and a ban from holding an O-Licence in future.
Set the Expiry Date for compliance alerts
The Expiry / Continuation Date field drives the compliance alert system. Once set, you will see a warning 60 days before expiry on the Fleet hub — giving you plenty of time to apply for continuation.

If you have vehicles with weight class 7.5 t or above but no O-Licence recorded, the Fleet hub shows a warning banner reminding you to add one.
Common Mistakes
Adding the O-Licence but not entering an Expiry Date — without it no compliance alerts will fire.
Setting Max Vehicles to fewer than the number of heavy vehicles you actually operate, which indicates a licence variation is needed.
Forgetting to update the licence record after a successful continuation application.
