1. What is Fleet Management?

The Fleet module is the central hub for managing all aspects of your vehicle operations. It shows live compliance alerts, scheduled maintenance, and a snapshot of your fleet status at a glance. From here you navigate to Vehicles, Daily Walkarounds, Maintenance records, Expenses & Fuel, Compliance tracking, and Fleet Analytics.

2. Fleet Dashboard

The Fleet hub page shows four headline stats: Total Vehicles, Active, In Maintenance, and Off Road. Below that, your Operator Licence (O-Licence) status is displayed if you have heavy vehicles (7.5 t or above). Compliance alerts appear for MOT, Road Tax, Insurance, Operator Licence, and Tacho Calibration items that are expiring within 60 days or already expired. A strip shows any expired items and maintenance scheduled for today.

3. Compliance Alert Thresholds

The system automatically calculates how many days remain on each compliance item. Warning alerts fire at 60 days remaining, urgent alerts at 30 days, and critical alerts at 14 days. Expired items are shown in red.

4. Fleet Modules

Vehicles: Add and manage your full vehicle registry with all compliance dates. Daily Walkarounds: Conduct DVSA-compliant daily walkaround checks and log defects. Maintenance: Schedule and record PMIs, services, repairs, MOTs, and tyre replacements. Expenses & Fuel: Log all vehicle costs including fuel fill-ups with efficiency tracking. Compliance: Overview of all compliance items across the fleet. Analytics: Fleet performance, costs, and utilisation reports.

O-Licence for heavy vehicles
If you operate vehicles over 3.5 tonnes you need an Operator Licence. Add it via the O-Licence card on the Fleet hub to track its expiry date alongside other compliance items.
Compliance alerts link directly
Each compliance alert in the hub links directly to the vehicle record so you can update the relevant date in one click.
Common Mistakes
Forgetting to set compliance dates when adding a vehicle means no alerts will fire.
Not recording walkarounds daily means you lose your DVSA audit trail.
Leaving vehicle status as Active after a vehicle goes off-road skews the dashboard counts.
