Managing Team Members

View active members, filter by role, search by email, and understand how to handle members who leave or change roles.

Viewing Team Members

The Team page shows all active members and pending invites in a single list. Each member row shows their email address, whether they can create notes, and a colour-coded role badge (green for Driver, blue for Staff). Pending invites are shown with a dashed border and a clock icon, with the date the invite was sent.

Filtering and Searching

Use the role tabs to filter the list to All, Drivers, Staff, or Pending. Use the search field to filter by email address. Filtering and search work together — selecting the Drivers tab and typing in the search box shows only drivers matching the search term.

Member Detail

Click any active member row to open their member detail page. From there you can see their full profile, review their role, see when they joined, and perform management actions such as removing them from the team.

Removing a Member

To remove a member, open their detail page and use the Remove Member action. Removing a member revokes their access immediately — they will not be able to log in. Any notes or records they created are preserved. This action cannot be undone from the UI.

Handling Leavers

When a driver or staff member leaves, remove them from the Team page promptly. Their existing records (walkarounds, notes, jobs) remain on the system as they are part of your audit trail. If the same person rejoins later, invite them again with a new invite — their previous data will not be reconnected automatically.

Removal is immediate
As soon as you remove a member, their session is invalidated and they cannot access the platform. Make sure you have handled any handover of work before removing them.
Review the Pending tab regularly
Check the Pending tab weekly. If someone has been pending for more than a few days their invite may have expired or landed in spam. Re-invite them if needed.
Common Mistakes
Removing a member before they have finished a walkaround or signature collection — incomplete records may be lost.
Forgetting to remove members who have left the company — former employees retaining access is a security risk.
Expecting removed members' data to be deleted — records created by removed members are retained for audit trail purposes.
