Understand what each role can and cannot do. Owner has full access; Staff manages day-to-day operations; Drivers focus on mobile job completion.

Owner

The Owner is the account creator and has unrestricted access to all modules and settings. There is one Owner per account. The Owner can invite and remove team members, manage billing, access all reports, and configure all settings including BACS details, templates, and permits. The Owner role cannot be assigned to an invited member.

Staff

Staff members can perform most day-to-day operational tasks. They can create waste transfer notes, manage clients, schedule collections, and use the H&S module. They cannot access invoicing, billing settings, or team management.

Driver

Drivers have a streamlined mobile-first view focused on completing their assigned jobs. They see their job list, can open job details, collect client signatures on-site, edit EWC codes for specific loads, and conduct daily walkaround checks. Drivers cannot access notes lists, client management, invoicing, or reports.

Can Create Notes Permission

Individual Staff and Driver members can also have the can_create_notes permission flag set. When enabled, the member can create new waste transfer notes in addition to the other permissions for their role. This appears as "Can create notes" under the member email in the team list.

Roles are set at invite time
The role a member receives is set when you send the invitation. You cannot change it through the UI after the fact — contact support if a role change is needed.
Use Driver for mobile-only workers
If a team member only needs to collect signatures and complete walkarounds on their phone, assign them the Driver role. They will see a clean, distraction-free interface optimised for mobile.
Common Mistakes
Assigning Staff to a worker who only does driving — they will have access to more of the platform than they need, increasing the risk of accidental changes.
Expecting a Driver to be able to see the full notes history — they only see their assigned jobs.
Thinking Staff can manage invoices — only the Owner has access to the Invoicing module.
