WTN Sign Flow

Capture both the customer (transferor) and driver (transferee) signatures — required for UK Duty of Care compliance on every one-off collection.

Who signs what

UK Duty of Care requires both parties to a waste transfer to sign the waste transfer note. The customer is the transferor — the person or business handing the waste over — and must sign as such. The driver is the transferee — the licensed waste carrier receiving and transporting the waste — and signs as the collector. Both signatures must be present on the note for it to be fully compliant.

WTN Signatures panel

For one-off collections that are In Progress and have a linked waste transfer note, the WTN Signatures panel appears below the Waste Details editor. It shows the WTN reference and current note status, then presents two signing sections: one for the customer (transferor) and one for the driver (transferee). Both sections must be completed before the note is fully signed.

Note status values

The status badge uses four states: Draft (grey — note created but no signatures yet), Awaiting Signature (amber — one party has signed or a signature request has been sent), Signed (green — one party has completed their signature), and Completed (green — both parties have signed and the note is fully finalised).

Getting the customer signature

The customer signs as the transferor. Tap Get Customer Signature to open the signature modal, then hand the device to the customer. The customer signs on-screen using their finger or stylus and enters their printed name. On completion the customer section shows a green confirmation and the device is returned to the driver. This step confirms the customer is knowingly transferring their waste to a licensed carrier.

Emailing the customer for signature

If the customer is not physically present on-site, or if the office sent them a signing link before the collection, you can use the email option instead. Tap Email Customer for Signature to expand the email request form. Enter the customer's email address and optionally their name, then tap Send Request. QWTN sends a secure link for the customer to sign the note from their own device at their convenience.

Driver signature

The driver signs as the transferee — the licensed waste carrier accepting responsibility for the waste. Tap Sign as Driver to open the signature modal. If you have a saved default signature set on your profile, the modal pre-fills with it so you can confirm quickly or redraw if needed. Sign using your finger or stylus, then confirm. Once signed, the driver section shows a green "Driver signature present" message.

Auto-signed from saved signature

If you have set a default signature on your profile, it is automatically applied to the note as your driver signature when the collection is started. In this case the driver section shows a green "Driver signature present" message from the moment the note is created — you do not need to sign again manually. You can still redraw if needed by tapping the signature area.

After both parties have signed

Once both the customer signature and the driver signature are present, the note status updates to Completed. The sign flow panel collapses and shows a summary confirmation. The note is now legally compliant and the collection can be marked as complete.

Both signatures are required for UK Duty of Care compliance
A waste transfer note with only one signature does not satisfy UK Duty of Care requirements. Both the customer (transferor) and driver (transferee) must sign before the note is compliant. Do not complete the collection until both signatures are present or a signature request has been sent.
Signatures are permanent
Once a signature is captured it is saved to the note and forms part of the legal waste transfer record. Make sure all waste details (EWC codes, quantity) are correct before signing.
Use email requests when the customer is not on site
If the customer representative is not present when you arrive, use the Email Customer for Signature option. They receive a secure link to sign from their phone or computer. The office can also send the link in advance from the scheduling form using the "Send now" signature option.
