Transfer Runs

Deliver held waste to a licensed transfer site, capture evidence, and generate the deposit note — closing the collection chains for all included waste.

1. What is a Transfer Run?

A Transfer Run is a job scheduled by the office to take held waste — waste collected from customers on previous collections but not yet deposited — to a licensed transfer site. On the Job Detail page the job type is shown as Transfer Run. The job includes a manifest of all the held waste items that the office selected when scheduling.

2. Held waste manifest

When you open a Transfer Run job, the held waste manifest is displayed. This shows all the waste items included in the run, grouped by the customer they came from. For each customer group, you can see the waste description, EWC codes, and quantity. Review the manifest before setting off to confirm you have all the waste on board.

3. Evidence capture

At the transfer site, you must capture the required evidence before completing the run. The following fields are available on the Transfer Run completion screen.

The site operative signs on your device to confirm receipt of the waste. This is their signature as the transferee on the deposit note.

4. Completing the transfer run

Once all required evidence is captured, tap Complete Transfer Run. The system performs the following actions: a deposit note is generated recording the waste transferred, the EWC codes, the site, and both signatures; all held waste items included in the run are marked as deposited and removed from the truck manifest; and the collection chains for those waste items are closed. The deposit note is immediately available in the Waste Notes section of the main dashboard.

5. Deposit note and collection chains

The deposit note created on completion links back to all the collection notes in the chain — the original one-off notes that created the held waste. This creates a complete audit trail from waste producer through collection to final deposit, satisfying UK Duty of Care chain-of-custody requirements. The deposit note reference is shown in the confirmation screen after completing the run.

Complete Transfer Run only once you are at the site and waste is deposited
Tapping Complete Transfer Run creates the deposit note and closes the collection chains. This action cannot be reversed. Only complete the run after the waste is physically on the weighbridge or deposited at the site.
Photograph the weighbridge ticket
Enter the weighbridge reference number in the evidence form so it appears on the deposit note. If the site issues a paper receipt, record the reference for your audit trail. The weighbridge reference is especially useful if the EA ever queries the disposal records.
Transfer site details are set by the office
The destination site is chosen by your office when the transfer run is scheduled. You cannot change the site from the driver app. If the destination is wrong, contact your office to reschedule the job with the correct site.
