Creating Collections
Schedule a one-off collection or a season-ticket-covered collection, assign a driver, and pick waste types from the load library.
1. Customer-first flow
The form is built around selecting the customer first. Once a customer is chosen, the system immediately checks whether they have any active season tickets. If season tickets are found, a coverage choice is presented before you continue filling in the rest of the form. This ensures the correct note type is assigned to the collection from the start.
2. Schedule section
Set when the collection takes place and what type it is.
3. Season ticket detection
When a customer is selected, the system automatically queries their active season tickets. If one or more active season tickets exist, a selection panel appears showing each ticket with its reference, waste types, and expiry date. You then choose whether this collection is covered by one of those season tickets or whether it requires a new one-off note. Selecting a season ticket locks the EWC codes to those on the ticket — no new waste transfer note or signature is needed at collection time.
4. One-off vs season ticket coverage
The coverage choice determines how the collection is documented. One-off creates a new waste transfer note that must be signed by both the customer (transferor) and the driver (transferee) before or during the collection. Season ticket uses the existing signed season ticket to cover the collection — the driver records quantity only, with no additional signing required. If no season tickets exist for the selected customer, the form defaults to one-off automatically.
5. Assignment section
Assign the collection to a driver and link it to a customer.
Shown when: Shown only when collection type is Transfer Run
6. Collection Address section
The address where the collection takes place. Auto-filled from the selected customer's saved address, but can be overridden.
7. Waste load library
Instead of typing waste descriptions and EWC codes from scratch, you can pick waste types from your load library — a set of saved waste profiles your account has built up from previous notes. Each library entry stores a description, one or more EWC codes, and a containment type. Selecting a library entry populates all three fields at once. You can still edit the populated values before saving.
8. Signature options (one-off collections only)
For one-off collections, you must obtain both the customer signature (as transferor) and the driver signature (as transferee) to satisfy UK Duty of Care requirements. The scheduling form lets you choose how the customer's signature will be collected: Send Now emails the customer a secure signing link before the driver arrives, so the note is pre-signed on collection day. Driver Collects means the driver will present their device to the customer on-site to capture the signature during the collection.
9. Driver Notes section
A free-text field for instructions to the driver — access codes, hazards, contact details, or any other relevant notes for the job.
