Creating Collections

Schedule a one-off collection or a season-ticket-covered collection, assign a driver, and pick waste types from the load library.

1. Select customer
2. Check for active season tickets
3. Choose one-off or season ticket coverage
4. Assign driver
5. Pick waste types from load library
6. Choose signature option
7. Save Collection

1. Customer-first flow

The form is built around selecting the customer first. Once a customer is chosen, the system immediately checks whether they have any active season tickets. If season tickets are found, a coverage choice is presented before you continue filling in the rest of the form. This ensures the correct note type is assigned to the collection from the start.

2. Schedule section

Set when the collection takes place and what type it is.

New Collection
Schedule a collection or transfer run
2026-03-15
Defaults to today's date. This determines which day the collection appears on in the Schedule view.
08:30
Choose Transfer Run when the driver is going to a licensed transfer site rather than a customer. Transfer Run only appears when the assigned driver has held waste on their truck.

3. Season ticket detection

When a customer is selected, the system automatically queries their active season tickets. If one or more active season tickets exist, a selection panel appears showing each ticket with its reference, waste types, and expiry date. You then choose whether this collection is covered by one of those season tickets or whether it requires a new one-off note. Selecting a season ticket locks the EWC codes to those on the ticket — no new waste transfer note or signature is needed at collection time.

4. One-off vs season ticket coverage

The coverage choice determines how the collection is documented. One-off creates a new waste transfer note that must be signed by both the customer (transferor) and the driver (transferee) before or during the collection. Season ticket uses the existing signed season ticket to cover the collection — the driver records quantity only, with no additional signing required. If no season tickets exist for the selected customer, the form defaults to one-off automatically.

5. Assignment section

Assign the collection to a driver and link it to a customer.

7. Waste load library

Instead of typing waste descriptions and EWC codes from scratch, you can pick waste types from your load library — a set of saved waste profiles your account has built up from previous notes. Each library entry stores a description, one or more EWC codes, and a containment type. Selecting a library entry populates all three fields at once. You can still edit the populated values before saving.

8. Signature options (one-off collections only)

For one-off collections, you must obtain both the customer signature (as transferor) and the driver signature (as transferee) to satisfy UK Duty of Care requirements. The scheduling form lets you choose how the customer's signature will be collected: Send Now emails the customer a secure signing link before the driver arrives, so the note is pre-signed on collection day. Driver Collects means the driver will present their device to the customer on-site to capture the signature during the collection.

Select customer first to unlock season ticket detection
The customer field drives the rest of the form. Selecting the customer first reveals any active season tickets, auto-fills the address, and determines whether a new note or signature will be needed.
Season tickets lock the EWC codes
When you select an active season ticket to cover a collection, the EWC codes are locked to those defined on the ticket. This ensures the collection stays within the scope of the signed agreement and cannot inadvertently document waste types not covered.
Only active drivers appear in the Driver picker
The Driver dropdown only shows team members who have been invited and have the Driver role. If a driver is not appearing, check the Team module to confirm their role is set to Driver and their invitation is accepted.
Common Mistakes
Not setting the date — the date field defaults to today but you must ensure it is correct before saving, especially when scheduling ahead.
Ignoring the season ticket prompt — if the system detects active season tickets and you dismiss the prompt without choosing, the collection defaults to one-off, which will require additional signing steps.
Setting the collection type to Collection when creating a transfer site run — use Transfer Run for any job where the driver is going to a licensed transfer facility, not a customer site.
Skipping EWC codes — without EWC codes the driver does not have waste classification information on the job, which may cause issues when completing the waste transfer note.
