Transfer Runs

Schedule a driver run to a licensed waste transfer site — only available when the driver has held waste on their truck from prior collections.

1. What is a transfer run

A transfer run is a scheduled job where a driver takes held waste — waste collected from customers on previous collections but not yet deposited — to a licensed waste transfer site. Transfer runs are only available when the selected driver currently has held waste on their truck. If the driver has no held waste, the Transfer Run option is hidden in the collection type selector.

2. When Transfer Run appears

The Transfer Run radio option in the collection type selector is shown only when the assigned driver has at least one piece of held waste associated with their truck. Held waste is created when a driver completes a collection and the waste is marked as stored on the vehicle. If no held waste exists for the driver, the selector shows only the Collection option.

3. Held waste picker

Once Transfer Run is selected, a held waste picker appears. Held waste entries are grouped by the customer they came from, each showing the customer name, waste description, EWC codes, and quantity. Staff select which held waste items to include in this transfer run using checkboxes. At least one item must be selected to proceed.

4. Destination site

Staff select the licensed transfer site where the waste will be deposited. The site list is drawn from your saved Sites records. The selected site is shown to the driver in the driver app during the transfer run.

Sites are managed in the Sites module (/app/sites). Add a site there before it appears in this list.

5. Auto-aggregated waste details

When held waste items are selected, the system automatically aggregates their waste details into the transfer run record. The combined EWC codes, waste descriptions, and total estimated quantity are calculated from the selected items and pre-filled into the waste details section. Staff can review and adjust these values before saving.

6. No note created at schedule time

Scheduling a transfer run does not create a waste transfer note or deposit note. The deposit note is generated automatically when the driver marks the transfer run as complete in the driver app after obtaining the required signatures and evidence at the transfer site. This ensures the deposit note reflects the actual waste deposited, not the estimated quantities recorded at scheduling time.

7. Driver notes

Use the notes field to provide the driver with instructions for the transfer site — weighbridge location, tip road number, site contact details, or any access requirements.

The Transfer Run option only appears in the collection type selector when the selected driver has held waste on their truck. If you do not see Transfer Run as an option, either select a different driver who has held waste, or complete some collections first to generate held waste.
Transfer site must exist in Sites first
The transfer site dropdown is populated from your saved sites. If the transfer facility is not showing, go to the Sites module (/app/sites) and add it there first before scheduling the transfer run.
Use driver notes for weighbridge instructions
Include the weighbridge location, tip road number, or contact details for the site manager in the Driver Notes field. This avoids drivers having to call the office while on site.
Deposit note is created on completion, not at scheduling
No deposit note exists until the driver completes the transfer run in the driver app. The deposit note is generated at that point using the actual evidence captured on site. Do not expect a note to be visible in Waste Notes immediately after scheduling.
Common Mistakes
Trying to schedule a transfer run before the driver has any held waste — the option will not appear until at least one held waste item exists for the driver.
Not adding the transfer site to the Sites module before scheduling — the Transfer Site picker will be empty if no sites are saved.
Forgetting to select all relevant held waste items — unselected items remain on the truck and are not included in the deposit note generated when the run completes.
