Season Ticket Collections
Schedule collections covered by existing season tickets — no new note or signature needed per collection.
1. What is a season ticket collection
A season ticket (also called a season ticket WTN) is a pre-signed waste transfer note that covers multiple collections of the same waste type over a fixed period — typically up to 12 months. When a customer has an active season ticket, you can schedule collections against it rather than creating a new one-off note each time. This removes the per-collection signing requirement and speeds up the scheduling and collection process.
2. How the system detects active season tickets
When you select a customer in the New Collection form, the system automatically checks whether that customer has any active season tickets. A season ticket is considered active if it has been signed by both parties, its start date has passed, and its expiry date has not yet been reached. If one or more active season tickets are found, a selection panel appears immediately below the customer field listing each eligible ticket.
3. Selecting a season ticket
The season ticket selection panel shows each active ticket with its reference number, the waste types covered (EWC codes and description), the containment type, and the expiry date. Tap the ticket you want to use for this collection. Once selected, the EWC codes and waste description are locked to those on the ticket — these fields become read-only to ensure the collection stays within the scope of the signed agreement.
4. What changes when a season ticket is selected
Selecting a season ticket modifies the collection form in several ways. The EWC codes and waste description are locked to the ticket values and cannot be edited. The signature options section is hidden — no new customer or driver signature is needed because the season ticket was already signed when it was created. The collection is linked to the season ticket reference rather than generating a new one-off note. The driver will still record the actual quantity collected when they complete the job in the driver app.
5. Choosing one-off instead
If active season tickets are detected but this collection does not fall within their scope — for example, the customer is disposing of a different waste type — you can choose One-Off from the coverage selector to create a new waste transfer note instead. The one-off option is always available regardless of whether season tickets exist.
6. Driver experience
In the driver app, a season ticket collection shows a green Season Ticket badge on the job header. The driver taps Start Collection to begin, then records the actual waste quantity in the Waste Details editor. No signature step is shown. Tapping Complete Collection finalises the job and records the quantity against the season ticket. The collected waste is marked as held on the truck until a transfer run deposits it at a licensed site.
7. Quantity tracking
Each collection completed against a season ticket records the quantity collected. This allows the system to accumulate total waste transferred under the ticket over its lifetime. The season ticket record in Waste Notes shows the full list of collections covered by the ticket and the cumulative quantity. This is useful for annual return reporting and Duty of Care audits.
8. When a season ticket expires mid-schedule
If you schedule a collection against a season ticket and the ticket expires before the collection date, the system will flag the mismatch. The collection will need to be reassigned to a new season ticket or converted to a one-off note before the driver starts the job. Check expiry dates when scheduling collections close to the ticket renewal period.
