Season Ticket Notes

Cover multiple transfers of the same waste type between the same parties for up to 12 months.

What is a Season Ticket?

A Season Ticket is a single Waste Transfer Note that covers multiple transfers of the same type of waste between the same two parties over a period of up to 12 months. Instead of creating a new note for every collection visit, a season ticket is created once and used to cover every subsequent transfer during its validity period — provided the waste type, containment, and parties remain the same.

When to use a Season Ticket

Use a season ticket when: the same two parties transfer the same waste type on a regular basis (weekly, fortnightly, or monthly), the waste description and EWC codes do not change between transfers, and both parties agree to the season ticket arrangement. Common examples include a weekly skip service at a commercial premises, or a regular collection run from a fixed site.

Creating a Season Ticket

Navigate to Notes → Season Tickets → New. The Season Ticket editor is the same PreviewEditor as one-off notes, with one addition: Section D includes a "Season ticket valid until" date field. Fill in all sections as normal. Set the valid-until date to when you expect the season ticket to expire (within 12 months). The note banner at the top of the editor confirms you are creating a season ticket and explains the valid-until date requirement.

Section D — Season ticket validity

In Section D, set the "Season ticket valid until" date. This is the last date the note is valid for. On the printed note, the start date (first transfer date) and the end date both appear. You can update this date by reopening Section D in draft state.

Using a Season Ticket for multiple collections

Once a season ticket is complete, it covers every transfer between the same parties for that waste type until the expiry date. Each actual collection does not require a new note — however, you should keep a record of each collection (date, quantity) either within the note's additional fields or in a separate log. The season ticket itself is the legal document of record.

Season Ticket templates

Season ticket notes can be saved as templates, just like one-off notes. Navigate to Notes → Season Tickets → Templates. Templates pre-fill all section data. This is particularly useful if you have multiple regular clients each with a different waste type.

Season Ticket history

All completed season ticket notes appear in Notes → Season Tickets → History. The list shows the reference, waste description, transferor, transferee, and creation date. Click any entry to view the full note detail.

12-month maximum
A season ticket cannot be valid for more than 12 months under the Duty of Care regulations. If a regular arrangement continues beyond 12 months, a new season ticket must be created.
Save as a template for annual renewal
When a season ticket expires, save it as a template before it expires. Next year, create a new season ticket from the template — all the waste details and party information are pre-filled, and you just update the valid-until date.
Common Mistakes
Not setting the "valid until" date — without an end date the season ticket's validity period is ambiguous.
Using a season ticket when the waste type or parties change between transfers — a new note is required if the parties, waste type, or EWC codes change.
Letting a season ticket expire without creating a renewal — expired season tickets no longer cover new transfers.
