1. When Section D appears

Section D is only shown for Deposit (Direct) notes. It is hidden for Collection (Stored) notes because the transfer address is not required when waste is being stored or transported by a carrier. The section is required for the note to be completable on direct deposits.

2. Season ticket validity (season tickets only)

On season ticket notes, an additional "Season ticket valid until" date field appears at the top of Section D. Set this to the date on which the season ticket expires — it must be within 12 months of the start date. The end date appears on the printed note.

3. D1 — Transfer address

Enter the full address of the site where the transfer takes place — this is the address of the destination site, tip, or transfer station. The address is required for Section D to be complete. Enter one element per line (site name, address line 1, town/city).

This is the physical location where the waste changes hands. Include site name, street, and town.

4. D1 — Date and time

Enter the date and time of the transfer. Both are optional but strongly recommended for legal completeness. The date appears on the printed WTN next to the address.

5. D2 — Broker / Dealer

If a waste broker or dealer arranged this transfer (i.e. an intermediary who brought the two parties together but does not physically handle the waste), record their details here. This section is optional. Enter the broker's name, company name, and their EA broker/dealer registration number.

6. Waste hierarchy duty

The waste hierarchy checkbox declares that the transferor has fulfilled their duty to apply the waste hierarchy as required by Regulation 12 of the Waste (England and Wales) Regulations 2011. Tick this to confirm the declaration. It is stored as part of the note record.

Section D is hidden for collection notes
If you have selected "Collection (Stored)" as the transfer type, Section D does not appear. It is only required for direct deposit transfers.
Add the waste hierarchy declaration
Ticking the waste hierarchy declaration checkbox provides evidence that you have considered waste prevention, reuse, recycling, and recovery before disposal. This is good compliance practice.
Common Mistakes
Leaving the transfer address blank — it is required for Section D to be complete on deposit notes.
Not recording the date — without a date, the printed WTN is incomplete and may not satisfy an EA spot check.
Forgetting broker details when an intermediary arranged the transfer — failure to record a broker is a common compliance gap.
