Signatures

Collect transferor and transferee signatures in person on-screen, or send email signing links.

4. Email request

1. Overview of the Signatures dialog

The Signatures dialog shows two panels side by side: one for the Transferor (Section B party) and one for the Transferee (Section C party). Each panel shows the party's name and company pulled from the respective section. If a party has already signed, their signature image and the signed status badge are shown. If not, two action buttons are shown: "Sign in person" and "Send email request".

2. Signing in person

Click "Sign in person" to open a full-screen signature modal. The signer draws their signature using a mouse or touchscreen and enters their printed name. Tapping "Accept" captures the signature and returns to the Signatures dialog. The signature is stored as an image and displayed in the panel with the signer's name, company (Representing field), and sign date.

3. Sending an email request

If the other party is not physically present, click "Send email request". Enter their email address and optionally their name. Click "Send" to dispatch a signing link by email. The party receives an email with a secure link to a signing page where they can review the note and draw their signature. Once they sign, the note status updates automatically.

4. Email signing requirements

The note must be saved (have a note ID) before you can send email signing requests. If the note has not been saved yet, a message appears: "Save the note first to send email requests". Save the note by clicking "Draft" in the title bar, then reopen the Signatures dialog.

5. Deferred parties

If one party is deferred (their details are set to "Confirm later"), only the non-deferred party's signature panel is active. The note can be completed with one signature when one party is deferred.

6. After signing

Once both parties have signed, the Signatures section card in the main editor shows two green "Signed" indicators and the Completion Sidebar marks Signatures as complete. You can still change a signature by clicking "Change" in the signed panel.

Sign on a mobile device
The in-person signing flow works well on mobile. Hand the device to the customer and let them draw their signature with their finger. The full-screen modal makes signing comfortable on any screen size.
Signatures after completing
You can send email signature requests even after a note is completed. Go to the note detail page and use the "Request Signature" button — this sends the link without reopening the editor.
Common Mistakes
Trying to send an email request before saving the note — save as draft first, then send the email.
Completing the note without any signatures — the note will be valid but unsigned. Chase signatures promptly.
Not entering the "Representing" company name when signing in person — this field appears on the printed WTN.
