    Pick the customer, search the EWC code in plain English, add the quantity. Every field the law requires, in the order you fill it in.

    The producer signs on your phone with a finger, or from a link if they are not on site. You see the moment it is signed.

  1. Create the note, codes looked up. The problem: Paper notes get lost, or go in with the EWC code left blank. Describe the waste in plain English and pick the EWC code. Look up the customer’s SIC code. The checklist shows every required item, ticked as you go.
  2. Signed on their phone. The problem: Chasing a missing signature for days after the skip left. The customer gets a signing link by email, or signs on the driver’s phone on site. They check the details and sign with a finger. You see it signed the moment it happens, and they get a copy.
  3. The driver app works without signal. The problem: No signal on site means a paper copy to type up later. The driver completes the collection with no signal. It is saved on the phone and syncs by itself when signal comes back.
  4. Follow the load to its next home. The problem: Duty of Care doesn’t end at your gate: each transfer needs its own note. Collected waste with no onward note is flagged as a chain gap. Raise the onward note from the same load and the chain closes.
  5. The Defra receipt, built from the load. The problem: Since 1 October 2026, receiving sites in England and Wales report receipts to Defra. Weight, EWC code and carrier come from the note. QWTN checks the receipt is complete before it goes. Submission is built; GOV.UK approval is in progress.
  6. Customer portal, audit-ready PDF. The problem: An inspector asks for two years of notes, and they’re in a van door. Customers see their own notes in the portal. Each note downloads as a signed PDF. Keep notes 2 years, hazardous consignment notes 3.

Register checks read the Environment Agency public register (England). Wales, Scotland and Northern Ireland keep their own: NRW, SEPA, NIEA. A register check supports your Duty of Care; it doesn't replace it.

Is a digital waste transfer note legal?

Yes. Regulation 35 of the Waste (England and Wales) Regulations 2011 allows transfer notes to be kept electronically, and electronic signatures are accepted. What makes a note valid is its content: QWTN asks for every field the law requires before a note can be signed.

Is QWTN on the GOV.UK Digital Waste Tracking list?

Approval is in progress. Defra receipt submission is built and in production approval, and QWTN joins the GOV.UK list once that completes. The status page at qwtn.co.uk/status/defra shows what works today and is updated, with the date, as that changes.

Who has to report to Defra, and when?

Receiving sites in England and Wales have reported each load since 1 October 2026. Scotland and Northern Ireland follow from January 2027 (Northern Ireland expected). Carriers, brokers and dealers are expected from October 2027, subject to final regulations. No reporting duty has been announced for producers. Transfer notes and your Duty of Care continue for everyone.

How long do I have to keep records?

Waste transfer notes: 2 years, and season tickets 2 years from the end of the ticket. Hazardous waste consignment records are kept longer: 3 years for producers and holders. Paid plans store your notes for you; on Free you keep the PDF yourself.

What does the Free plan include?

Unlimited one-off transfer notes, downloaded as PDFs, with EWC lookup and an Environment Agency register check. No account is needed. There is no cloud storage or e-signatures on Free; those start at £12 a month.

What happens to my notes if I cancel?

They are yours. Any signed-in account can download its data, notes included, at any time on any plan, so you can take everything with you before you leave. You still need to keep notes for the legal retention period.

Does it work without signal?

Yes. The driver app installs from the phone’s browser (no app store) and works offline on modern iPhone and Android browsers. Notes and signatures sync when signal returns.
